Member Photos For The Website

Purpose

To help facilitate learning everyone’s name, it is a goal of the team to have most of the team member photos on the website 4-6 weeks after the start of the season.

Each new team member will receive their official team uniform in February. Therefore, the team will provide extra uniforms for new students to use for team photos.

Photo Sessions

Photo sessions will be held 2-3 times between mid October and mid November. The setup items required.

  • Backdrop
  • Tripod
  • Lights (optional)
  • Camera
  • Empty SD cards
  • Uniforms

When taking photos of students, take 1 photo, have the student look at the photo to approve it. Retake as needed. Delete bad photos as you go.

Upload all photos to a “Raw” folder in Google Drive after each session.

Cropping and Editing Photos

Paint.Net is used for simple photo cropping and resizing. It is a free tool with limited features, but well suited for this task. Paint.Net is installed using Chocolately.

Select your photo:

  • Open Paint.Net on computer
  • Select student photo from the Shared Drive, Raw folder and download to computer
  • In Paint.Net select File>Open and select photo from downloads folder

Edit your photo:

On the left dialog box select the Square:

On the toolbar select Fixed Ratio from the drop down, it needs to be 1:1 to create a square crop box.

Use the cropping tool to place a square where you’d like it. To maintain consistency on the website, crop the photos so that the subject’s face is about half the height of the photo. In this example, the face (green lines) is 45% of the image height, about 40% above the bottom of the page, with 15% of the background showing above the head

Once you have the cropping square drawn on the photo, from the Image menu, select Crop to Selection:

Now under Image select Resize:

In the box that pops up, enter 800x800 & select OK. Ensure the “Maintain aspect ratio” checkbox is checked.

Select File > Save As and rename to team member’s name as listed on spread sheet. Example “robin_f”. Save as a jpg.

Upload the resulting image to “Edited” team photo folder (not the raw folder). Make sure named as listed on spread sheet (robin_f) and saved as a jpg file (do not add jpg to your file name)

Moving to the Website

A programmer will copy the photos and spreadsheet to the website to be published. The member webpages is constructed from a CSV file that includes all member names, grades, and the file name of their image. Therefore it is important the photos saved to the Edited folder match the file name in the Google Sheet used to track each member’s photo.
