Team Load In/Out
Week Before
- Build Barricades, find cones, buy caution tape
- Create signs
- Identify students who will assist with load-in
Night Before
The night before the event, signs and/or barricades should be set up at the entrance to the lower parking lot, spot 2 on the map (below), and the exit at the top of the hill at the tennis court parking lot. The signs should read “Parking Below the School is Closed [Date]”. Include the date, in case someone forgets to gather the signs after the event. Additionally, cones, caution tape, and/or barricades should be placed across all parking spots by door 29 and door 20. In past years, a wrestling tournament has happened on the same weekend and students and coaches from the wrestling team have parked by these doors at 6 am, making unloading difficult.
Find or create barricades in the week prior to the event. Do not wait until Friday night to gather/create barricades.
After closing off the parking lot. Hallways within the school should be closed off with yellow caution tape and signs. In past years we have had a problem with students from other teams wandering in the hallways and entering classrooms. During a junior high basketball tournament in 2025, some students entered classrooms and smashed chromebooks. The signs should read, “No ACCESS BEYOND THIS POINT, students found in parts of the school that are off limits will be removed from the building. Your entire team will be sent home with multiple violations.”
The following locations should be taped off:
- East-West hallway adjacent to the Mulit-Purpose room, by the Career Center.
- Doors north of the Upper/Lower Gym bleachers that lead to the 200 rooms
- Cafeteria entrance by loading doc
- Hallway to the 200 classrooms by the vending machines
The only parts of the school that should be accessible are the lobby, and a path from the auditorium loading (spot 3 on the map), to the loading doc elevators.
Signs should be placed on the doors of the main entrance and at the check in table that say. “Students found in parts of the school that are off limits will be removed from the building. Your entire team will be sent home with multiple violations” Chat with custodians on duty and ask them to get a photo of students found in places they should not be or write down team names on shirts. Have them escort students out of the building and notify a KnightKrawler adult.
Load in Day
- One person with a flag or sign or safety vest to wave buses and trailers into the parking lot. Direct them to spot #2.
- Lead Load-In Attendant monitors this spot. All vehicles with robots pull up to this spot. This person shares instructions for all drivers (see below).
- This is the uploading spot for buses with trailers. Only buses should unload here. The door behind the auditorium should be used if possible. Some years, One Act Plays are happening the same weekend and we are not allowed to use those doors. Use the main entrance instead. Do not send buses down below the school.
- This is door 29. Two vehicles at a time can unload here. Once unloaded, vehicles should continue to the tennis court parking lot, do not come back out the way they entered. Vehicles should not block the path to get around the building.
- This is door 20. Two or Three Vehicles can unload here. Once unloaded, vehicles should continue to the tennis court parking lot, do not come back out the way they entered. Vehicles should not block the path to get to the tennis court parking lot.
- Tennis Court Parking Lot - all trucks and trailers should park here. No trailer parking in the main lot.
- Once buses unload, the should exit the parking lot back on to Long Lake Rd. Turn North (right), then take the first right on 25th Street. Park along the north side of the school on 25th street.
If load-in begins at 7:30, teams will arrive at 7:00. It always happens, plan for teams to arrive early. Have all people stationed at their locations by 7am. Contact the custodians to unlock doors 20, 29 and the door behind the auditorium (if we get to use that location).
- 1 student or adult at spot 1 on the map
- 1 adult at spot 2 on the map (lead load-in attendant)
- 2 students at spot 3 on the map to help unload and help direct teams to the loading doc elevator
- 2-3 students at spot 4 to help unload and direct teams to the varsity gym, one person should help trucks and trailer park so 2 teams can unload at the same time, without blocking access to the back of the school
- 2-3 students at spot 5 to help unload and direct teams to the varsity gym, one person should help trucks and trailer park so 2 teams can unload at the same time, without blocking access to the tennis court parking exit
Lead Load-In Attendant - What to Say
Good Morning, Welcome to Week Zero.
[Buses with No Trailers]
Do you have robots or parts in here? [If yes, tell them to unload the same spot as Buses with Trailers] If you only have students, you can turn left here and drop students off at the front door. Then head back out on Long Lake Rd and turn right. Take your first right on 25th Ave. You can park in the parking lot at the end of the street, or along the street on 25th. If there isn’t any room at all, the best option is going to be to head to Edgewood middle school and park in their parking lot. It is a few blocks away. You’ll have to look it up on your phone. We don’t want any trailers or buses in this parking lot. You’ll have to walk back around to the front of the school, none of the doors on the back of the school are open.
[Buses with Trailers]
There isn’t enough room to maneuver your bus below the school, so we are going to have you go left here and park up there by the building. See the students up there, they are going to help you unload and show you how to get to the elevator. If any of your toolboxes are longer than 7 feet, we’ll need your students to walk them all the way around to door 29 down there because they won’t fit in the elevator. Once you are done unloading, head back out to Long Lake Rd, and turn right. Take the first street to your right on the north side of the school. That is 25th Street. We want buses with trailers to park on the street adjacent to the school.
[Trucks and Cars with or without Trailers]
We are going to have you head down past the football field to unload. There are two doors. Door 29 is straight ahead, and door 20 is around the corner. You can pull along the football field and either wait for Door 29, or sneak around the corner and wait for Door 20. Make sure when you park down there you leave enough room for people to get past you to head to the other door, or to get out. Once you are done unloading, don’t come back out this way, there is a driveway that heads up the hill towards the parking lot by the tennis courts. We want all the trailers to park in that parking lot.
[Everyone]
At the end of the day, when you are ready to head out, come back to the main parking log here, the same way you entered this morning. Don’t drive back down the driveway by the tennis courts. None of the KnightKrawer students will be managing the doors, but you can load your trailers the say way you unloaded them. Same process as before, buses up here, everyone else down below. Make sure you leave room for vehicles to get past you below the school.
Good luck, have a great day!
After the Event
Clean up signs, cones, barricades and caution tape from inside and outside the school.
