End of Season Banquet Planning

9-12 Months Before the Banquet:

  • The team advisor completes a facilities request for the Multipurpose Room through the Irondale Activities Office (Bill Mauricio was the contact in 2025-2026)
    • Once finalized, this can be added to the team calendar

1 Month Before the Banquet:

  • Mentors…
    • Order senior gifts (traditionally a laser-engraved multi-tool)
    • Order senior graduation cords (red, white, and blue)
    • Plan/Order 10- and 20-year mentor gifts
    • Order any extra needed regional medals
    • MAY HAVE AN EARLIER DEADLINE - submit for any Minnesota Robotics Coaches’ Association Awards (individual all-state, individual academic all-state, and team academic all-state)
  • Student Leaders…
    • Ensure that the banquet date gets sent to students and families
    • Add the banquet date to the team calendar (if it has not been communicated already)
    • Start deliberating on mentor gifts to distribute at the banquet

The leadership team may decide on an invitation list at this time, which may include sponsors, school administrators, and other community partners.

2 Weeks Before the Banquet:

  • Mentors…
    • Conduct the following year’s leadership interviews
    • Decide (with team feedback provided on the core values rubric) on the following year’s leadership team
    • Deliberate and decide on team award recipients for the season
    • Create a plan for any extra needed state medals (if applicable)
    • Finalize the list for varsity lettering awards and submit it to the Irondale Activities Office (Maggie Schley was the contact in 2025-2026)
  • Boosters…
    • Send out a potluck meal sign-up to families
  • Student Leaders…
    • Remind the team of the upcoming banquet (weekly update, team announcements)
    • Start compiling photos for the banquet slideshow
    • Start subteam share-outs for banquet presentation
    • Start event recap slides for banquet presentation

The Week of the Banquet:

  • Mentors…
    • 3D print the KnightKrawler pendants for the senior graduation cords
    • Print banquet programs
    • Print award certificates (team awards, individual academic all-state awards, and captain recognition)
    • Complete the awards and upcoming leadership team slides for the banquet presentation
    • Finalize presenters
    • Assemble graduation cords
  • Boosters…
    • Send out a reminder for any open spots in the potluck sign-up
  • Student Leaders…
    • Remind the team of the upcoming banquet (weekly update, team announcements)
    • Be clear that banquet starts at 7pm for everyone, but leaders need to help with setup starting at 5pm (avoid parents arriving at 5pm)
    • Complete any remaining slides for the banquet presentation
    • Finalize presenters
    • Complete the banquet slideshow of photos/videos
    • Complete the table tents (3 sides for seniors, quotes, and event results)
    • Check in with each other about mentor gifts and see if anyone needs help

The Day of the Banquet:

    • Medals (extras not given out at individual regionals, champs, or the state tournament)
